Why We’re Moving to a Committee-Based Structure
As DFW Curling Club continues to grow—especially with the transition to a dedicated ice facility—our leadership structure must evolve to support increased complexity, activity, and opportunity. Historically, many responsibilities (such as membership, communications, and special events) were tied directly to specific board positions. While effective in the early stages, this model limits scalability, creates bottlenecks, and places a heavy burden on individual board members.
What’s Changing
- The Board will consist of:
- President
- Vice President
- Treasurer
- Secretary
- Three (3) At-Large Board Members
- The Board and Executive Committee will focus on:
- Strategic direction
- Governance and oversight
- Financial accountability
- Long-term planning
Committees:
- Created each year by the board
- Committee Chairs & Co-Chairs are selected by the board
- Handle day to day items and activities
- Open to all Members
Standing Committees
Finance Committee
Purpose: Provides financial oversight, transparency, and sustainability for the club.
Responsibilities:
- Develop and monitor the annual budget
- Track revenue and expenses
- Manage payments, reimbursements, and financial processes
- Ensure compliance with financial policies
- Support financial reporting to the Board
Membership Committee
Purpose: Enhance member experience, growth, and retention of the club’s community
Responsibilities:
- Focus on acquisition and onboarding of prospective members
- Maintain member data - including professional backgrounds and personal milestones
- Develop engagement and retention initiatives and programming
- Organize gatherings to foster a strong sense of community within the club
- Serve as primary contact for member questions

Operations Committee
Purpose: Our dedicated ice facility requires ongoing support — from initial construction to daily operations.
Responsibilities:
- Support final facility build out & construction
- Maintain ice and educate members on best practices
- Manage equipment inventory and storage
- Ensure coverage during operating hours
- Address repairs & operational needs

Leagues Committee
Purpose: governs all aspects of competitive and recreational play
Responsibilities:
- Organize competitive and fun leagues within club operating calendar
- Establish rules and track scores in CCM for all leagues
- Facilitates introductory programs and ensures curling is accessible to participants with adequate volunteers and instructors
- Partners with IT committee to ensure smooth league registration
- Coordinates with Ice Crew to ensure facility is ready for scheduled play

Marketing Committee
Purpose: Build the DFWCC ‘brand’ identity, revenue growth, and external visibility
Responsibilities:
- Develop & execute marketing strategies via social media and website campaigns
- Create graphics, photos, and promotional materials
- Support sponsorship and fundraising efforts
- Assist with merchandise and branding
Potential Subcommittees:
- Social Media / Content Creation & SEO/AEO
- Sponsorship & Fundraising
- Merchandise (Shopify/Pro shop)
Policy & Procedures Committee
Purpose: Develop a clear, consistent framework for how the club operates
Responsibilities:
- Review current practices and identify areas that need clarification or standardization
○ Ex: how ice time is prioritized, expectations during league play, or how we handle scheduling conflicts and event sign-ups - Develop clear, practical policies covering key areas such as member conduct, facility use, and dispute resolution
- Coordinate with other committees to ensure policies reflect real operational needs
- Present a finalized document to the Board for approval
Communications Committee
Purpose: Serves as the club’s primary information hub
Responsibilities:
- Keep the membership informed through newsletters, board meeting recap emails, and
digital message boards - Monitors & responds to messages sent to the general club inbox
- Coordinate messaging across committees
- Maintain meeting notes & documentation

Special Events Committee
Purpose: Focus on revenue-generating private events & community outreach
Responsibilities:
- Coordinate logistics, registration, and scheduling of all corporate ‘Learn-to-Curls’, birthday, or private events within the club operating calendar
- Manages skill-building camps and programming for development of club members and visiting curlers
- Partners with USA Curling for all national event requests
- Represents the club at local events to grow the sport’s visibility

Bonspiel Committee
Purpose: Plan and execute the club’s curling tournaments
Responsibilities:
- Schedule events within national curling calendars
- Design and communicate draw schedules
- Coordinating themes, decorations, and experience
- Manage vendors, sponsors & logistics
- Oversees setup and teardown

- Steers & Beers (our signature event!)
- Fun Spiels
- Member-only Bonspiels
IT Committee
Purpose: Provide technical infrastructure and digital support required to run a modern curling facility
Responsibilities:
- Manage backend systems (eg. Curling Club Manager...)
- Maintain website functionality & updates
- Support A/V Systems (cameras, TVs, etc)
- Troubleshoot technical Issues
- Assist/educate other committees as they need help with our technical systems
